Catering Policies & Procedures

On behalf of Otterly Gingertastic, we are delighted that you are considering us for your special event. Our goal is to deliver an experience that is creative, seamless, and truly otterly gingertastic. Please review the following policies and procedures carefully. Our team is always happy to assist with any questions.

General Information

• Office Hours: Monday–Friday, 9:00 AM – 6:00 PM
• Saturday: By appointment only
• All event details, pricing, and services must be confirmed in writing.

Deposits

A 50% non-refundable deposit of the total catering sales contract is required to secure your event date. Deposits are credited toward your final invoice and must be paid in full at contract signing.

• Accepted methods: Cash or Credit/Debit Card
• No personal checks accepted
• Local business checks accepted with prior management approval

Final Payment

The remaining balance is due 14 business days prior to the event date.

• Accepted cards: Visa, MasterCard, Discover, American Express
• A credit card authorization form is required at contract signing
• Tax-exempt clients must provide a valid certificate at signing

Guest Count Guarantee

Final guaranteed guest count must be submitted no later than 14 business days prior to the event. Our kitchen prepares for 5% over the guaranteed number.

Service Charge & Sales Tax

All pricing is subject to a 22% service charge and applicable sales tax. Texas sales tax (8.25%) applies unless a valid tax-exempt certificate is provided.

Menu Selection

Our Event Pros will assist with menu planning, including custom, themed, gourmet, and ethnic options. À la carte menus are available for groups of 25 guests or fewer.

Menu pricing is based on current market conditions and subject to change without notice.

Cancellation Policy

• 14+ days prior to event: 50% of deposit refunded
• Within 14 days of event: All monies forfeited

Corporate Catering Accounts

Corporate clients may establish a catering account for streamlined billing. Accounts are intended for organizations with average monthly charges of $500 or more.

Catering Services

Pick-Up Orders

Pick-up orders are packaged on eco-friendly disposable serviceware at no additional charge. Orders are available Monday–Friday from 9:00 AM to 3:00 PM.

Delivery / Drop-Off

Drop-off delivery (no staffing) is available for $50 within Dallas city limits. Additional delivery fees apply outside Dallas.

Event Planning Services

• Custom menus and chef-attended stations
• Buffets, plated dinners, passed hors d’oeuvres
• Rentals, décor, linens, and event setup
• TABC-certified bartenders
• Floral, lighting, photography, entertainment
• Day-of or full-service event planning

Service Staff

• Service Staff: $25/hour (4-hour minimum)
• Bartenders (TABC Certified): $28/hour (4-hour minimum)
• Chef Attendants: $45/hour (4-hour minimum)
• Event Manager (if required): $75/hour (4-hour minimum)

Food & Beverage Regulations

Due to Health Department regulations, all food and beverage must be prepared by Otterly Gingertastic. Guests may not take leftover food or beverages home.

Bar Service & Alcohol

TABC-certified bartenders are provided. Clients are responsible for purchasing alcohol unless otherwise arranged. Otterly Gingertastic reserves the right to refuse service to intoxicated guests.

Tastings

Tastings must be scheduled at least 7 business days in advance. Complimentary tastings are provided for up to two guests.

Special Requests & Custom Menus

We happily accommodate special dietary needs and create custom menus when needed. Please discuss requests early in the planning process.

Additional Services

Valet parking, coat check, décor, rentals, DJs, and entertainment can be arranged with advance notice.
